GuideConnect Dictation Not Working: No Words Appearing When Using Voice Input

Troubleshooting GuideConnect dictation issues when spoken words do not appear in a document, search field, or text entry area.

If you are using dictation in GuideConnect and notice that your spoken words are not appearing in a document, email, search field, or other text entry area, there are several factors that may be causing the issue.

Why This Happens

Recent changes to Microsoft's speech recognition and dictation services have resulted in older Windows dictation methods being retired. Newer versions of GuideConnect use modern cloud-based speech recognition services provided through Microsoft's Azure dictation technology.

Access to these newer speech recognition capabilities requires an active Upgrade Agreement. Without an active agreement, dictation may no longer function as expected after Windows updates or service changes.

Resolution

Check Your Upgrade Agreement Status

If your spoken words are not appearing when using dictation, first confirm whether you have an active Upgrade Agreement.

An active Upgrade Agreement ensures access to the latest versions of GuideConnect, including compatibility updates for Microsoft's latest speech recognition and Azure-based dictation services.

If your agreement has expired, please contact:

  • The Dolphin Sales Team
  • Your local Dolphin dealer or reseller

They can provide pricing and renewal options to restore access to the latest supported version of GuideConnect.

Additional Troubleshooting Steps

If you have an active Upgrade Agreement and dictation is still not working, complete the following checks.

1. Update GuideConnect

Ensure you are running the latest available version of GuideConnect. New releases often include compatibility fixes and improvements for Windows speech services. To check for updates navigate to Tools > Check for updates.

2. Install the Latest Windows Updates

Microsoft regularly updates speech recognition and audio services through Windows Update.

To check for updates:

  1. Open Settings
  2. Select Windows Update
  3. Choose Check for updates
  4. Install all available updates
  5. Restart your computer

3. Verify Your Microphone

Confirm that:

  • Your preferred microphone is connected correctly
  • The microphone is selected as the active input device in Windows
  • The microphone is not muted
  • Applications are permitted to access the microphone

4. Test Your Microphone in GuideConnect

To verify that GuideConnect can detect your microphone:

  1. Open GuideConnect Settings
  2. Navigate to Speech and Audio
  3. Select the option 'Test Microphone Volume'
  4. Follow the prompts to perform a microphone test
  5. Confirm that your voice is detected and audio levels respond correctly

If the microphone test does not detect your voice, the issue is likely related to the microphone connection, Windows audio settings, or device permissions.

5. Consider Using a Dedicated Headset or Microphone

While built-in laptop microphones may work for occasional dictation, users who rely heavily on voice input often achieve better accuracy and reliability with:

  • USB headsets
  • USB desktop microphones
  • Noise-cancelling microphones
  • Professional speech-recognition headsets

Using a dedicated microphone can improve speech recognition accuracy and reduce issues caused by background noise.
